      BirthdayBot only accesses employee data necessary to post birthday greetings. We do not sell or share your data with third parties for marketing purposes.
    

This Privacy Policy describes how TDACRM Solutions ("we", "us") collects, uses, and protects data when you use BirthdayBot ("the Application") on your Bitrix24 portal.

1. Data We Access

When you install BirthdayBot, it accesses the following data from your Bitrix24 portal:

Employee names, job titles, and departments
Employee birthday dates (from Bitrix24 user profiles)
Custom traits and keywords you enter for AI personalization
Portal domain and administrator information for authentication

2. How We Use Your Data

The data accessed is used exclusively to:

Detect upcoming employee birthdays
Generate personalized birthday greeting messages using AI
Post greetings to your Bitrix24 Activity Feed at the scheduled time
Manage your application settings (post time, timezone, language)

3. Data Storage

BirthdayBot stores the following data on our secure servers:

Portal authentication tokens (encrypted)
Application settings (post time, timezone, language, post-as configuration)
Excluded employee IDs and names
History of sent greetings (date, recipient name, message content)
License and subscription status

We do not store full employee profiles, passwords, or any sensitive personal information beyond what is listed above.

4. Third-Party Services

BirthdayBot uses the following third-party services:

OpenAI — to generate AI-personalized greeting messages. Employee name, role, department, and custom traits are sent to OpenAI for text generation. No other personal data is shared. OpenAI's privacy policy applies: openai.com/privacy
Stripe — for payment processing. Stripe handles all payment data securely. We do not store card details. Stripe's privacy policy: stripe.com/privacy

5. Data Retention

Your data is retained for as long as you use BirthdayBot. When you uninstall the application, you may request deletion of all stored data by contacting us at [email protected].

6. Data Security

We implement industry-standard security measures to protect your data, including encrypted storage of authentication tokens and secure HTTPS connections for all data transfers.

7. Your Rights

You have the right to:

Request access to the data we store about your portal
Request correction or deletion of your data
Withdraw consent by uninstalling the application
